Reporting to the Human Resources Department, the Administrative Assistant – HR & Reception plays a key role in file management and supporting the company’s activities. Proactive and well-organized, she ensures diligent follow-up on the files under her responsibility and contributes to the efficiency of operations. In addition, she manages the reception desk two days a week, helping to ensure the smooth running of the office.
MAIN RESPONSABILITIES
- Prepare, review, and format various documents, emails, and internal communications.
- Support recruitment activities, including job postings, applicant follow-ups, and interview coordination.
- Participate in the onboarding of new employees: preparing files, employment documents, and welcoming new hires.
- Maintain and organize up-to-date employee records.
- Assist in preparing training sessions, HR meetings, and internal events.
- Oversee the administrative follow-up of absences, vacations, and other HR forms.
- Manage and update group insurance, employee benefits, and equipment loans.
- Communicate relevant information to the Payroll department.
- Provide occasional administrative support to management, including the President and the Corporate Controller.
- Replace the receptionist as needed (two days per week).
- Perform any other administrative or general office tasks required by the company.
REQUIRED PROFILE
- Degree in administration, secretarial studies, office management, business management, or a related field.
- Minimum of 2 years of experience in administrative support.
SKILLS AND QUALIFICATIONS
- Excellent command of French (spoken and written) and good knowledge of English.
- Strong proficiency with Microsoft Office Suite and ease with digital tools.
- Autonomy, thoroughness, discretion, and a strong sense of confidentiality.
- Excellent organizational skills and attention to detail.
- Ability to work effectively under pressure and meet deadlines.
- Team spirit and professionalism.
- Previous training or experience in real estate sales or rentals.
- Excellent oral and written communication skills.
- Organizational skills and autonomy.
- Ability to manage multiple projects simultaneously.
- Proficiency with IT tools and ad publishing platforms.
