Administrative Assistant – Property Management

The Administrative Assistant – Property Management supports the Director of Property Management in ensuring the efficient operation of the buildings and rental portfolio, focusing mainly on administration, tenant relations, and certain financial tasks.

MAIN RESPONSIBILITIES

Property Administration
  • Manage tenant data in systems (HOPEM, Yardi): payments, invoicing, updates, modifications, subsidies, rent increases, insurance, PAD, etc.
  • Prepare, send, and file leases, amendments, and notices (N4, N9, N11, renewals, rent increases, warning letters).
  • Handle move-ins and move-outs (notices, DocuSign forms, inspections, key handovers, deposit refunds).
  • Draft and send tenant communications (notices, correspondence, statements, reminders).
  • Update and organize lease files (both paper and electronic).
  • Produce weekly rental reports and update tracking tables (purchase orders, departures, etc.).
  • Maintain relationships with municipalities and subsidy providers.
  • Respond to tenant emails, calls, and service requests.

Financial Support

  • Process rent payments (PAD, cheques, deposits, laundry room income).
  • Perform basic accounting entries (received payments, adjustments, credits).
  • Issue receipts and account statements.
  • Monitor overdue rent, send reminders, and coordinate with the legal department for collections/evictions.
  • Assist with monthly billing and financial reports in collaboration with accounting.
  • Reconcile tenant accounts in Hopem (statements, credits, billing errors, collections).

Legal and Regulatory Support

  • Prepare files for the Administrative Housing Tribunal.
  • Collaborate with paralegals and lawyers for legal procedures (evictions, mediations).
  • Ensure compliance with legal deadlines (notices, renewals, rent increases).

General Administration

  • Maintain and update databases and software (Hopem, Yardi, Teams).
  • File, scan, and manage documents related to properties and tenants.
  • Prepare various management reports for the leadership team.
  • Handle certain communications with the board of directors and managers.

Desired Profile

We’re looking for a dynamic, proactive individual who is customer-focused and has a strong sense of priorities.

Education and Experience

  • Diploma in Administration, Office Management, Secretarial Studies, or a related field.
  • Minimum of 2 years of experience in administrative support.

Skills and Qualifications

  • Excellent command of English; functional French.
  • Strong proficiency with Microsoft Office Suite and general computer literacy.
  • Autonomy, accuracy, discretion, and a strong sense of confidentiality.
  • Excellent organizational skills and attention to detail.
  • Ability to work effectively under pressure and meet deadlines.
  • Team spirit and professionalism.
